Wayfinder

Wayfinder is the universal tracker for all program-related work: approvals, referrals, disbursements, pickups, follow-ups, forms, benefits, client results, and survey reminders. Every entry here has a matching action in an interaction’s right-hand rail — what you log in an interaction is what shows up in Wayfinder.

At the top you’ll see counts such as pending approvals, open disbursements, and items completed this month.

Filter the list to find what you need:

  • Search — client name or notes
  • Location, Program, Type, Assigned to, Created by, Status, Referred to
  • Date range
  • Include completed items, and Bulk imports only

Most of these filters are multi-select: open one and tick as many values as you like (for example, two programs at once). Each open dropdown has an Include / Exclude toggle and Select all / Clear buttons:

  • Include — show only the values you tick.
  • Exclude — show everything except the values you tick (“all but…”). The button then reads, for example, All but 2 Programs.

Exclude is available on Program, Type, Location, Assigned to, Created by, Referred to, and Pickup sub-type. Status is multi-select only (no exclude).

The Sub-type filter (Pickup items, Internal Action types, Follow-up types) becomes active once you pick a single matching Type; otherwise it sits greyed out.

Date filters:

  • The quick-range menu covers Today, Yesterday, This / Last / Next Week, Next 2 Weeks, This / Last Month, and Overdue.
  • Or set an explicit From / To range — each date field has an to clear it.

To include form field data in a CSV export, choose a single program and filter Type to Form Submission.

Once you’ve built a filter set you like, use Save View to name and keep it. Saved views can be Personal (just you) or shared at the Organization level. Reopen them any time from Saved Views.

Click the ★ star next to one of your personal views to make it your default — that view loads automatically every time you open Wayfinder. Click the star again to clear it. You can have one default at a time.

Click a column heading to sort by it, ascending or descending (for example, sort Created by earliest or latest). Two clicks open quick views without leaving the page:

  • Click a client’s name — a quick panel with their most important profile information.
  • Click a program — the program’s details and the staff linked to it.

The Due column always shows the due date, with a small warning icon as a nudge when something needs attention: a red diamond for overdue items and an amber circle for items due within the next week. Hover the icon for the specifics — for example, Overdue by 3 days or Due tomorrow.

The action menu works across entry types:

  • Reassign — hand a task to another coach (available for many task types).
  • Set Status — move an item through its statuses. Only the advocate assigned to the program can do this.
  • Approvals — approve or reject, specific to the program.

Every entry has an underlined View Interaction link at the top that takes you back to the original interaction where the action was created.

External referrals are visibility and record only — no advocate action is required in Wayfinder. Full referral detail lives in the interaction notes.

The primary (blue) button changes with the program attached:

  • Mark as Complete — for pickup-style work that needs a single action.
  • Approve — for work that requires approval before it can be completed.

Internal actions can carry a multi-step approval workflow, an assignment, a due date, and a status history.

A pickup is one-and-done (unlike an internal action’s multi-step workflow). The entry shows the item details, quantity, delivery method, and a status history. Mark it complete when the item has been provided.

  • Quick-view the most important fields from the form.
  • Open Form to see the full form; Download PDF at the bottom to export it.
  • Incomplete forms are saved as drafts and can be finished in Wayfinder or in the interaction they came from.
  • Log attempts directly in Wayfinder so other users can see progress.
  • The client’s phone number is shown prominently for quick access.
  • The originating interaction and the follow-up’s creator are both linked, so you always know where it came from and who started it.
  • Mark it complete when the follow-up is done.

An information and tracking tool — used to record and monitor benefit discussions with a client. It doesn’t trigger an action to take.

Records a concrete, verifiable outcome achieved since the last interaction — the client objective that was met. It captures the result type, confirmed date, related entity, verification method, and a reference.

A scheduled prompt that a survey is due. Complete it from Wayfinder when the survey has been handled.
